The Role of Corporate Event Planners
Corporate events can be good for many reasons, but also difficult to set up and schedule – so the role of corporate event planners in these situations is an important one.
Role of Planners
Corporate events can be held for many reasons – your company is new and you need to gain exposure in a marketplace, for example. Or maybe you are looking to debut a new product or service, and want to make both the public and your corporate clients aware of this change. You might even be proud of your company or business's charity or volunteer works, and want to have an event that thanks everyone for their hard work. No matter what reason you choose to hold a corporate event for, the role of corporate event planners is to make sure that your party or other event goes smoothly.
Most corporate event planners work within a large firm, or with several planners in one office, much in the way that wedding planners work. Their job is to make sure that your big day goes off without a hitch, so before you sign a contract, make sure that you feel comfortable with your planner. If he or she seems rushed, or doesn't want to listen to your input or ideas, you may not have a pleasant experience with this event planner. Many planners will gladly sit down for a free consultation so that you can be sure that they will be able to handle the type of event you need.
Perhaps the biggest role of corporate event planners is as a go-between. Once you have decided on a specific event, the planner's role is to make sure that everything that goes with this event can be accomplished. This means finding a location that is suitable for your event – and one that fits with any themes your event might have. They will also be responsible for negotiating any costs and permits required in order to use a specific place or location. Planners can often have “ins” with the owners of locations, making it easier to reserve a specific place.
Event planners are also responsible for other major chores, such as choosing a menu (if you are having a dinner or party that is serving food) as well as booking entertainment. Planners can help you “make it happen”, even if booking the entertainer of your choice might seem impossible. They can also help you to easily choose what sorts of foods and other menu and drink choices will work well with your specific event. Do you want to serve alcohol or have a dry function? Event planners will have experience with both types of events, and let you know the pros and cons of both.
If you can afford it, an event planner can make your corporate event a much less stressful time. The role of corporate event planners is to make your event run smoothly and efficiently, without making you spend your precious time on the minute details of one event.
