Steps for Event Planning

You know you need to start planning your corporate event – and fast – so here are some steps for event planning to help you get started before you run out of time to get everything done.

The very first steps for event planning are the easiest. They involve simply deciding on what sort of event you want to have and why you want to have it. Are you planning on having a big party, or just a business meeting and presentation? Or maybe something even more spectacular, involving entertainment and famous faces? Depending on the reason for your event, you may need to choose one or all of these types of events combined to get your point across. If you are promoting a new product or introducing a new company, you will definitely need to make a splash.

Once you have completed these first steps for event planning, you will need to get to the more technical portion of the planning. You will need to secure a location – which can be as simple as renting a conference room in a hotel or as complex as renting an entire zoo for the day. You'll also need to decide on how you are going to delegate responsibility – who in your company is going to be responsible for securing the location, for catering, for entertainment, for decorations, etc. There are going to be many different sections of this event to be planned, and one person couldn't possibly handle them all.

Other steps for event planning include deciding on whether or not the event will be catered (if it will be catered, just what sort of food and how much will be served is another factor) and the all important guest list. Will this event be open to the public, or will it be a closed, invitation-only soiree? Depending on the type of event, you will need to make these decisions ahead of time.



Finally, other loose ends will need to be tied up when planning your event. These can be big or small, depending on where your event is located and just what sort of event you are holding. For instance, in a large city, parking can be a major factor, whereas in other areas it may not be. Entertainment may be an issue with some events, but with meetings and lectures, or smaller parties, entertainment may not be a concern. Public relations is key to all events, but the amount of PR needed will depend on the size of the event and the audience being catered to.

The steps for event planning are, at their core, very similar to planning a party at home. You need to create an atmosphere of fun and excitement and invite people to join in – just remember, there's much more at stake in the business world.
